Surrey Police Service (SPS) is Surrey’s new municipal police agency. On November 29, 2024, SPS became the police of jurisdiction, and assumed responsibility and command for policing and law enforcement in Surrey. POSITION OVERVIEW

Surrey Police Service (SPS) has an exciting opportunity for a Clerk 3 to join our Training and Development Division, within the Corporate Services Bureau. This position works with a team of professionals dedicated to ensuring a smooth training process of sworn and civilian staff. This position is a key focal point for SPS employees and is responsible for assisting with scheduling training, corresponding with all levels of staff from management to frontline, facilitating training processes, and assisting with a substantial number of clerical duties. Competence with technology, strong time management, attention to detail, and communication skills are also an asset.

 

The successful candidate will be highly organized, with a keen eye for attention to detail and an ability to think critically and efficiently. They would candidate will thrive in a fast-paced and collaborative environment with an ability to build and maintain effective working relationships with users, team members, and key stakeholders. 

 

Schedule / Hours of Work

The anticipated schedule for this position is 7:00 to 15:00. Please note, the hours are subject to change based on operational needs and adherence to the Collective Agreement.

 

RESPONSIBILITIES

  • Registering staff into training courses and conferences and tracking progress to completion
  • Collecting and inputting data into software programs
  • Preparing reports and data summaries.
  • Filing and retaining training records.
  • Preparing files and documents.
  • Inputting data into a Learning Management System (LMS) and SharePoint.
  • Preparing and posting training schedules, notices and charts.
  • Scheduling meetings and taking minutes.
  • Providing information to others, tracing errors, correcting deviations from policy.
  • Answering inquiries from all staff.
  • Providing ongoing tracking of training completion and completing related reports.
  • Order course and section supplies.
  • Assisting other staff in performing their duties, as required. 

KNOWLEDGE, SKILLS AND ABILITIES

  • Ability to communicate effectively, both orally and in writing.
  • Ability to understand and effectively carry out oral and written instruction.
  • Independence in judgement taken in performing the duties of the position.
  • Considerable knowledge of business English, spelling, arithmetic, current office practices, procedures, and equipment operation.
  • Ability to maintain moderately complex records, prepare reports and make arithmetical calculations rapidly and accurately.
  • Knowledge of filing, indexing methods and record keeping.
  • Ability to follow routine procedures with a minimum of supervision.
  • Ability to provide accurate, factual information to others.
  • Ability to establish and maintain satisfactory working relationships with the public and staff.
  • Ability to train junior personnel.
  • Ability to assemble and prepare statistical reports and tabulations.
  • Good public relations skills and interpersonal skills.
  • Knowledge of PC office applications and good key board skills.
  • Good knowledge of Surrey Police Service policies, procedures, and standards.
  • Good knowledge of the division’s operation and procedures.
  • Working knowledge of applicable safety regulations.
  • Physical strength, stamina, and coordination to carry out the duties of the position.
  • Relevant level of security clearance.

QUALIFICATIONS

  • Completion of Grade 12, supplemented by several courses in word processing, office practices and computer applications.
  • Minimum two years experience and training in an office environment.
  • Must have accurate typing speed of 40 wpm.
  • All applicants must obtain, and maintain, the required standards of police security clearance throughout employment with SPS.

  • This is a unionized position, represented by CUPE 402.
  • The salary range is $30.12 to $31.97hour (pay grade 012) based on 2024 rates.
